STUDIO BOOKING (please scroll down for event bookings)
1. Booking & Payment
1.1. All bookings must be made in advance and are only confirmed once payment has been received in full.
1.2. Studio hire fees are non-transferable unless agreed by Ivory Nest Studios.
1.3. The hirer must be at least 18 years old and present throughout the booking.
2. Session Time
2.1. Booking times include set-up and pack-down. Please ensure you allow sufficient time within your booking.
2.2. Overtime will be charged at the studio’s hourly rate and is subject to availability.
3. Use of Studio
3.1. The studio may only be used for photography, videography, and creative projects unless otherwise agreed.
3.2. Furniture, props, and equipment must be handled with care and returned to their original positions after use.
3.3. Any damage to the studio, furniture, props, or equipment caused during the booking will be charged to the hirer.
4. Capacity & Conduct
4.1. Maximum capacity must be adhered to as agreed at the time of booking.
4.2. The hirer is responsible for the conduct of all persons attending the booking.
4.3. Smoking, vaping, or use of hazardous materials is strictly prohibited.
5. Health & Safety
5.1. The hirer is responsible for ensuring all activities carried out during the booking are safe and appropriate.
5.2. Children under 16 must be supervised at all times.
6. Flooring & Shoe Covers
6.1. To protect our painted flooring, all clients and guests must wear shoe covers provided by the studio when not actively being photographed or filmed.
6.2. Shoes may be worn without covers only when required for photographs or filming.
6.3. Any damage to flooring from non-compliance will be chargeable to the hirer.
7. Cleaning & Waste
7.1. The studio must be left in the same condition as it was found.
7.2. All waste must be disposed of in the bins provided.
7.3. Additional cleaning charges may apply if the studio is left in an unsuitable condition.
8. Cancellations & Rescheduling
8.1. Ivory Nest Studios does not offer refunds for cancellations.
8.2. Sessions may be rescheduled once, provided at least 48 hours’ notice is given.
8.3. Cancellations or reschedules made with less than 48 hours’ notice will result in the booking being forfeited.
9. Breakages, Losses and Damages
9.1. The client is responsible for any breakages, losses, or damages caused to the studio or equipment by the client, or any other person(s), during the allotted booking time.
9.2. All equipment used is at the client’s own risk. Ivory Nest Studios shall not be liable for any loss or damage to materials, props, or equipment. This includes any consequential loss of profit, however caused, arising out of the use of, or inability to use, equipment supplied or agreed to be supplied (all equipment is subject to availability).
9.3. No alterations or additions to the studio space or equipment are permitted without prior written consent from Ivory Nest Studios.
9.4. The client must notify Ivory Nest Studios staff at the time of supply if the condition of any equipment is not acceptable. The client shall pay any costs incurred by Ivory Nest Studios arising out of any breach of this condition.
9.5. Ivory Nest Studios shall not be liable to the client for any loss, damage, expense, or consequential loss (including loss of profit) in connection with:

Any damage to or loss of property by the client or any third party.

Any breakdown, stoppage, or failure of the facilities or equipment provided by Ivory Nest Studios.
10. Termination
10.1Ivory Nest Studios may terminate any booking or hire contract if the client is found to be in breach of any terms and conditions.
If a client is found to be aggressive, malicious or disrespectful to a member of Ivory Nest Studios, then the Studio reserves the right to terminate any booking immediately and ban the client from any future bookings.
Event Hire
These Terms and Conditions govern all event hire bookings at Ivory Nest Studios. By confirming a booking, the hirer agrees to comply with all conditions set out below.
1. Booking Duration
1.1 The hire period booked by the hirer includes the full time required for set up, event activity, and take down.
1.2 The studio must be vacated at the end of the booking time. This includes the complete removal of all decorations, props, equipment, and personal belongings.
1.3 Any use of the studio outside the booked hours will be charged as an additional hour or part hour. This charge is payable immediately and is subject to studio availability.
2. Set Up and Take Down Responsibilities
2.1 The hirer is fully responsible for all set up for their event. This includes arranging chairs, tables, backdrops, decorations, and any other equipment.
2.2 The hirer must also complete a full take down at the end of the booking. All furniture must be returned to its original position and layout unless otherwise agreed.
2.3 Failure to return the studio to its original state may result in a cleaning or reset fee.
3. Use of Furniture and Equipment
3.1 All studio furniture, props, and equipment must be handled with care.
3.2 Any damage caused by the hirer, their guests, or external suppliers will be charged at full replacement or repair value.
3.3 Items must not be removed from the studio unless permission is granted.
4. Cleaning and Waste Management
4.1 The studio must be left clean and tidy at the end of the hire.
4.2 All rubbish, packaging, food waste, and decorations must be placed in the bins provided.
4.3 Spillages must be cleaned immediately to prevent damage to flooring or furniture.
5. Access and Exit
5.1 The hirer will be granted access only during the booked hire time. Early access is not permitted unless agreed in writing.
5.2 The studio must be fully vacated by the agreed end time. This includes all attendees and suppliers.
5.3 The hirer is responsible for ensuring all doors are closed and any access points are secure when exiting.
6. Behaviour and Noise
6.1 The hirer is responsible for the behaviour of all guests and suppliers during the hire period.
6.2 Anti social behaviour, excessive noise, or actions that risk damage to the studio will result in immediate termination of the booking with no refund.
6.3 Music and noise levels must be kept at a reasonable volume in consideration of neighbouring units.
7. Decorations and Installations
7.1 Decorations must not be fixed to walls, doors, or furniture using materials that cause damage such as nails, tacks, adhesives, or tapes that remove paint.
7.2 Any installations must be free standing unless otherwise agreed.
7.3 Balloons, florals, props, and backdrops must be removed by the end of the hire period.
7.4 Candles or open flames are not permitted.
8. Health and Safety
8.1 The hirer must ensure that all equipment brought into the studio is safe, stable, and suitable for indoor use.
8.2 Exits and pathways must remain clear at all times.
8.3 Children must be supervised at all times.
8.4 Ivory Nest Studios reserves the right to stop any activity deemed unsafe.
9. Liability
9.1 Ivory Nest Studios is not responsible for the loss, theft, or damage of personal items or equipment belonging to the hirer, guests, or suppliers.
9.2 The hirer accepts full responsibility for any injury, incident, or damage that occurs as a result of their event.
9.3 The hirer agrees to indemnify Ivory Nest Studios against any claims arising from their use of the space.
10. Overrunning of Booking
10.1 If the hirer remains in the studio beyond the booked period, additional charges will apply at the current hourly rate.
10.2 These fees may include overtime charges for staff or cleaners if applicable.
10.3 Overrunning may not be possible if there is another booking immediately after.
11. External Suppliers
11.1 All external suppliers such as decorators, entertainers, photographers, caterers, or vendors must follow the studio rules.
11.2 The hirer is liable for any damage or disruption caused by their suppliers.
11.3 Any equipment delivered to the studio must arrive and leave within the booked hire period.
12. Food and Drink
12.1 Food and drink are permitted but must be handled responsibly.
12.2 Any spills must be cleaned immediately.
13. Cancellations and Amendments
13.1 We do not offer cancellations or refunds once a booking is confirmed. This is because your selected date and time are reserved exclusively for you, and we turn away other clients for that slot.
13.2 Amendments
You may request an amendment to your booking (date or time) up to 48 hours in advance, subject to studio availability. Amendments requested within 48 hours cannot be accommodated and will be treated as a cancellation.
13.3 Studio Cancellations
In exceptional circumstances, the studio may need to cancel a booking. If this occurs, a full refund will be issued.
14. Compliance
14.1 The hirer agrees to comply with all studio rules and guidelines.
14.2 Ivory Nest Studios reserves the right to update these Terms at any time.
14.3 Continued use of the studio constitutes acceptance of updated terms.
